Event Admission Policy

DefinitionsWhitehatlinks (WHL, we, company) - is the event organising company for WhitehatTea SEO meet-ups. 
WhitehatTea (WHT, event, meet-up) - is a brand of the SEO community meet-up with a tea ceremony.
All WhitehatTea events are hosted and organized by Whitehatlinks company. All WhitehatTea events are organized for SEO industry experts and SEO company owners. No person under the age of 18 years, including children of exhibitors, can participate in WhitehatTea meet-ups.
This is a small scope of rules and regulations for all guests to make the event service transparent and clear for anyone who wants to join the WhitehatMedia community.
Event announcement and registrationEach meet-up has a registration period from the official announcement to the day of the event. To reserve the spot for the upcoming event, register for the upcoming event via website or contact the event manager in your city directly via their social media profiles. 
Make a payment according to the declared price of the ticket and get your invitation with all event details to the email you’ve provided. 
The price you pay for spot reservation is full and no additional payments or expenses could appear during or after the event. The price doesn’t include any transfer or accommodation fees and the event organizer doesn’t provide such services.
Whitehatlinks doesn’t provide a money back guarantee for the spot reservation process. If your plans change unexpectedly and you want to sell the tickets to other people to get money back, contact the community manager to make a correspondent post in the WhitehatMedia community for free. You may do this one day before the event starts as the latest term. The posts requested on the same day as the event scheduled will not be published for the whole community.
Any person found to be registering to participate in WhitehatTea events using false information or credentials will have their application denied and may be liable to prosecution. 
Without prejudice, the organisers reserve the right to exclude any person or group of people from both in-person and online events. The blacklist for WhitehatTea event attendance is corporate information used only privately and it could not be shared in any communication channel. People receive email confirmation personally about the reason and status of being blacklisted. 
The organisers reserve the right to exclude or remove anyone from the event, including the venue for in-person events, who do not comply with this policy or who they reasonably consider are likely to break the rules.
Date and formatThe WhitehatTea events have unchangeable format and timing. The event lasts 3 hours. No delays or schedule shifts are possible on the same day as the event is held. All schedule changes that were made after the official announcements will be published in community chats as a separate post with notification.
Each announced tea ceremony meet-up has a separate event page, once schedule changes are confirmed, they instantly appear on the official event page within one working day.All guests who registered their spots and got an invitation to the event via email will be informed about the schedule change via email and get the updated invitation. 
TimelineThe WhitehatTea meet-up starts without delay at 18.00 from a short intro speech from the host and the speaker’s presentation which lasts 30 minutes. The WhitehatTea meet-up in Valencia starts at 19.00 without delays. 
The question-answer section usually lasts up to 20 minutes and could be extended during the event due to the number of questions from the audience.
The guests’ introduction part usually takes from 10 up to 15 minutes because each guest represents oneself shortly. Up to this moment the tea ceremony runs in the background and each guest tastes different tea sorts during the evening. After the introduction, the networking part of the event starts and each tea ceremony becomes the central part of the event. 
Guests may change their places, group by interests, talk to speakers, take photos or talk to the tea ceremony master. All the networking runs within the same room and lasts up to 21.00 in Tallinn, Kyiv and Warsaw, and up to 22.00 in Valencia. 
Food and drinksAlcohol and food are not allowed, so there is no option to buy something in addition to tea during the event.
There is a recommendation for all guests to have some meal before the event because there will be fermented tea sorts during the tea ceremony.
No food or other drinks except for tea will not be added to the event agenda by business partners’ request. 
Gifts and goodiesEach guest receives the branded bracelet while they arrive at the location and wears it on hand during the event.
The tea ceremony master may make tea taster gifts or may sell tea according to requests from guests during the networking.
Schedule changes and cancellationsWhitehatTea SEO meet-ups are organized independently from SEO conferences and in case any schedule shifts to SEO events in the city, the date of WhitehatTea SEO doesn’t change.
The WhitehatTea meet-ups have never been cancelled due to technical or other reasons yet. The organisers reserve the right to provide a full refund for the ticket price to all guests once the meet-up was cancelled due to technical reasons.
Intellectual propertyPresentation from the speaker stays his individual intellectual property so it could be shared among guests only by agreement with the event organizing company (Whitehatlinks). The speaker may allow or restrict making a video record during the SEO meet-up.
Ads and integrationsContact the WHT event manager via knil.tahetihw%40stneve email to discuss all possible opportunities according to corporate or personal brand promotion during the event in terms of cooperation. We don’t use a logo wall banners or exhibit stands during the WhiteHatTea SEO meet-up but we may place small banners and corporate flags near the entrance of the venue or in the room where the event is held. 
WhitehatTea brand could be integrated to any SEO summit, conference or a local meet-up, as a tea ceremony chill-out zone according to event partner status. Each guest has unlimited tea, a cozy place for networking, off-page strategy tips and tricks from Whitehatlinks experts and community membership in Whatsapp or Telegram. 
Solicitation of business or distribution of materials or communications by non-sponsors is strictly prohibited. Violators will be rejected to attend further WhiteHatTea meetups and will not be registered for the event again.
Event venueDue to security reasons in Kyiv we send the event location address directly to each guest and don’t publish this information publicly. 
If you have any issues with getting to the event venue or need someone to meet you near the front door to show you a parking place, contact the event manager in Telegram or Whatsapp communities even if the event has already started.
General sponsorship, sponsors and media partnersEvent sponsors and media partners can’t influence the event format, add, change or remove any scenario of the event.
Event sponsors and media partners may integrate their brand according to the sponsorship or mediapartnership package lists provided by Whitehatlinks representative. 
Each offline tea ceremony meet-up may have a single general sponsor. General sponsorship means that one company buys the option to be a single and only sponsor of the regular WhitehatTea event in one city during the year.
Each WhitehatTea meet-up may have various sponsors. There is no division between gold, silver and platinum sponsorship offers.
The media partnership contract could not be changed during the event, it is valid from the moment it was confirmed and signed by all parties and until the event ends. 
The media partnership contract could be changed by agreement of the parties after each offline event according to customers’ feedback.
Each confirmed partnership contract is valid until the newer contract is signed by each company representative and confirmed by receiving the copy of the new contract with a list of changes and the term of contract validity. Any person with a proven SEO expertise may apply to become a speaker during the next WhitehatTea events. 
Each speaker may reject to share the presentation slides and record the video materials during the WhitehatTea meet-up.
Content sharing statements● All guests are allowed to use their mobile phones to create photos and social media short videos and post them as soon as they are made.● It’s prohibited to bring a professional videographer and record the lecture for commercial use. ● It’s prohibited to record the video that may disclose partnership agreements among guests during the networking session.● It’s allowed to make group photos and share them in social media accounts without written or verbal allowance from people captured on photo. You may tag them in social media profiles.● All guests are allowed to share feedback about the event privately or openly in their social media accounts including using photos from the professional photo report.

All film or photography taken during events is the intellectual property of the organisers and cannot be used or broadcast without prior permission. The organizers retain the right to remove anyone from the event, should they be seen photographing or filming in prohibited areas.
